Bookings: use-case scenarios
How teams use bookings to reserve equipment, avoid clashes and track checkout and return.
What a booking does
A booking reserves a set of assets and kits for a period, for a named person. Bookings need a Team workspace. Use them to:
- Make sure nobody else takes the same item on the same dates.
- Record exactly when items left and came back, including partial returns.
- Email the person responsible before checkout, before return and when an item is overdue.
- Print a booking overview and download a calendar entry for each booking.
A typical flow
- Draft: create the booking with a name, a custodian and start and end dates, then add assets and kits.
- Reserved: reserve it. Tracero checks the dates and conflicts, and the assets are held.
- Ongoing: check the items out, all at once or by scanning them one by one.
- Complete: check them in. When the last item is back, the booking completes and an email is sent.
If the end time passes while items are still out, the booking becomes Overdue. You can Extend an Ongoing or Overdue booking unless the extra time clashes with another reservation.
Rules that prevent clashes
- A Reserved booking blocks overlapping dates for its assets.
- An asset in custody cannot be checked out. Release custody first.
- An asset that belongs to a kit is booked through the kit.
Cancel a booking from Reserved, Ongoing or Overdue and its items return to Available.
